What you can do
Start with an accountable order
Order Coordinator enters an order for a shopper and a billing customer. The order identifies its brand, owner, channel, date, promised date and promotion code. Those details matter when a retail banner takes an order on one channel but another customer pays the invoice. The owner can see the order without inferring responsibility from a free-form note.
A skincare order might contain a serum and a moisturizer for the same shopper. The coordinator chooses the customer, checks the billing customer and records the promised date before confirming the draft. The review decision is tied to the order revision, so a later correction has a clear starting point.
How the work is organized
- Customer identity. Customers carry a code, contact, address, preferred sales channel and eligibility note under an organization.
- Order responsibility. The order has an owner, counterparty and billing customer, with channel and promotion details on the same record.
- Review handoff. Confirming a draft computes its net amount from lines, advances it to review and creates the receipt and review record.
What to agree during setup
Decide which organization owns each order, how customer codes are matched across channels and who may change the billing customer. Agree when a promised date is entered and what the order desk should do when a channel supplies an incomplete address. A channel feed is a connection to set up; the order record remains the place where the team checks the result.
Separate intake from independent review. Order Coordinator prepares and confirms the order; Order Reviewer examines the revision and evidence. For an amended order, agree how the reviewer sees the corrected amount and lines before a shipment is released. Define who assigns the order owner when a channel does not provide one.
Check the handoff on an actual case
Create a draft for a returning cosmetics customer with a different billing customer. Add a promotion code and two products, then confirm it. Check that the net amount reflects the lines, the order moves to review and the receipt and decision record point to that order, with the decision naming the reviewed revision. Change one line only through the correction path and check the earlier review evidence remains visible.
If the promised date changes, the coordinator should see the change before allocation. If the order is rejected, the team should know who returns it for correction and which revision was reviewed. The order record supplies the shared reference for those conversations.
