What you can do
Keep the instruction as the operating record
The bank instruction is the record the team follows from preparation through provider outcome. It carries a record number and subject, the organization, owner and counterparty, the requested date and amount, and a revision. Its status moves through draft, review, authorization, submission, pending provider outcome and confirmation. That sequence lets a preparer see what needs work and gives an approver a specific revision to decide.
The amount on the instruction should be checked against its debit and credit account lines before review. A subject explains the intended business action in the team’s own language, while the record number provides a stable reference in discussions with the provider and internal reviewers. The value date and confirmed date add context once the instruction advances.
How the work is organized
- Preparation. Treasury Preparer owns the draft, counterparty selection and account scope.
- Decision. Independent Treasury Approver decides against the revision submitted for review.
- Outcome. Provider instruction reference and bank evidence connect submission to confirmation.
What to agree during setup
Agree who owns each instruction type, how the organization and counterparty are chosen, and which information must be checked before a draft enters review. Decide how a revision change returns to the preparer and when a second approval is required. Define who monitors a submitted instruction until provider evidence arrives; submission is an action, while confirmation depends on the provider outcome.
The team should also name the person who investigates rejected instructions and unresolved provider results. A rejection stays visible as a decision, with its reason retained in the review record. Recreating a draft without tracing the earlier decision makes the operating history harder to understand.
Check the handoff on an actual case
A Treasury Preparer records a banking instruction for a settlement counterparty, gives it a subject and requested date, and adds account lines that explain the intended movement. The preparer sends the current revision to review. The Independent Treasury Approver sees the amount, owner, counterparty and account scope, then records the decision. If authorized, the preparer submits it and stores the provider’s instruction reference. Later, verified confirmation evidence and the confirmed date support the final status. If the provider result remains pending, the instruction stays in the pending work queue rather than being treated as complete.
