Who it's for

Tissue collection teams

A tissue collection team needs to know which event produced a sample, when it was collected and where it is in processing. The sample record links directly to the donation event. Its accession number, type, collection date and status give staff a practical route from event to sample and back. The clinical note and observations give the reviewer more context around the event.

How Organ Donation Registry is set up for you

Event assignment

Name the donor and clinician on the event before collection work starts.

Sample identity

Put the accession number on each sample and confirm it against the intended event.

Processing state

Distinguish Ordered, Collected, Received, Tested and Rejected in the working queue.

Follow-up

Assign a coordination task when the next action needs a named person and due date.

A tissue collection team needs to know which event produced a sample, when it was collected and where it is in processing. The sample record links directly to the donation event. Its accession number, type, collection date and status give staff a practical route from event to sample and back. The clinical note and observations give the reviewer more context around the event.

Pilot one collection team with events that contain several samples. Include a sample that reaches Tested and another marked Rejected. Ask the Licensed Clinician to explain the collection date and current processing status, then ask the Clinical Reviewer to find both samples from their parent event. A rejected sample should remain visible so the team can explain the processing outcome later.

If test results are produced by a laboratory system, agree how the team receives and checks those results. The sample status should be changed by an authorized person based on actual evidence. For medication dispensations during the event, record the lot, quantity, unit and authorizing team member separately from sample processing. The two record types can be reviewed together without being confused.
