What you can do
Keep the working record clear
An audit brings a certification scope, named standard and planned dates into one working record. Quality Manager can see its current status and actual completed date separately. Inspections and corrective actions link to the audit, while individual inspection checks link to the certification scope. Review those different paths before closing a case.
Quality Manager plans an audit for an operator and scope, names the standard and records the planned date and planned completion. Inspector records an audit-linked inspection result and scope-linked checks. If work is needed, Quality Manager assigns an action. The actual completed date is entered only after the team reviews the records used for closure.
How the work is organized
- Plan the audit. Select the scope and record the standard and planned dates.
- Review evidence. Open inspection results by audit and checks by the audit’s certification scope.
- Close deliberately. Review related actions and record the actual completion date when the audit is closed.
What to agree during setup
Agree how the team names standards, who sets planned dates and who can close an audit. The status list contains Planned, Planted, Growing, Harvesting and Closed; agree what the crop-stage labels mean in an audit list before staff use them. A planned completion date is a target, while the completed date records what happened. Ask Quality Manager to review those separately, especially when a planned date has passed without completion.
Check the handoff on an actual case
Use one audit linked to a known scope. Ask Quality Manager to show the standard, planned date, planned completion and current status. Ask Inspector to open the audit-linked result and the scope-linked checks. Confirm the checks concern the same scope; the check record has no direct audit reference. If an action was created, open it by audit and compare its scope with the audit scope. Before anyone marks the audit Closed, check the result, assigned work and actual completed date. A crop-stage status by itself does not establish that the audit is complete.
When the planned completion passes, Quality Manager should inspect the actual completion field before calling the work late or finished. The status label and date answer different questions. Keep both in the review so an audit that remains Planned is not counted as closed because its target day has passed.
