What you can do

Keep the working record clear

The scope is the starting record for an operator and parcel. Operations Manager maintains its field code, operator name, location, certified hectares and certification status. Audits, boundary surveys, inspection checks, input reviews and corrective actions each reference that scope. Open those records from the same scope when the team needs to explain a change.

A parcel moves from Available to Restricted after the team reviews its current position. Operations Manager checks the field code and operator name before recording Restricted. Quality Manager opens the audits and corrective actions for that scope to see which work remains. The status alone does not explain the reason, so the team checks the dated inspection and audit records before discussing the case with a certifier.

How the work is organized

  • Identify the parcel. Use the field code, operator and location together so similarly named fields do not get mixed up.
  • Keep areas distinct. Record certified hectares on the scope and surveyed hectares on the boundary record.
  • Follow related work. Open the audit, checks and actions linked to the same scope before changing its status.

What to agree during setup

Agree who maintains operator names and field codes, who can change a restricted scope and what evidence the team reviews first. Set a clear convention for location text so staff can find the same parcel from an audit or survey. Decide how to handle a new survey when its measured area differs from the certified area. The Operations Manager should update the responsible record after review; copying the survey number into the certified area would hide the distinction.

Check the handoff on an actual case

Take one parcel that was Available and is now Restricted. Ask Operations Manager to locate it by field code and explain the operator, location and current status. Open its boundary record and compare the survey date and measured hectares with the certified hectares on the scope. Then ask Quality Manager to open a planned audit and any action linked to the scope. If those records concern a different parcel, correct the reference at its source. Reopen the scope and related views to confirm that the same operator and parcel are visible throughout. Keep the formal certification decision with the certifier.

What your team sees

  • Active Certification Scopes — Find scopes marked Available or Planted and review the operator and area.
  • Restricted Scopes — Find Restricted scopes and open their related audit and action records.

Follow the work through

Follow the scope and audit process and the inspection and action process. Review the data model when preparing records for import.
