What you can do
Keep the working record clear
Inspection checks and inspection results record different facts. Inspector captures a dated check against a certification scope, including its type, measurement, unit and notes. An inspection result links to an audit and records its inspected date, quantity, unit, result text and accepting person. The audit connects back to the scope.
Inspector observes a condition on a parcel and records a check against its scope. Later, an audit-linked inspection records the inspected date and result, with a person in the accepting field. Quality Manager opens the audit to connect the result to the scope and compares the check without treating the two quantities as the same measurement.
How the work is organized
- Record the check. Choose the scope and enter the observed date, check type, measurement, unit and notes.
- Record the result. Link the inspection to its audit and capture the inspected date, quantity, unit and result.
- Trace acceptance. Open the person referenced as accepting the inspection and review the audit context.
What to agree during setup
Agree who records observations, which units staff use and how result text is written. Assign the person who accepts an inspection result. The check has no direct audit reference, so use its certification scope and observed date when comparing it with an audit-linked result. Decide how the team distinguishes several checks on the same scope during the same audit period. Do not convert a check measurement into an inspection quantity without reviewing the underlying records.
Check the handoff on an actual case
Choose a scope with a planned audit. Have Inspector enter a dated check with a type, measurement, unit and note. Have the same person open the audit-linked inspection and record its date, quantity, unit and result. Ask Quality Manager to follow the inspection to its audit and from that audit to the scope. Then compare the scope on the check. Open the accepting person to confirm the correct reviewer was recorded. If a value is disputed, correct the check or inspection record that owns it; neither record substitutes for the other.
The accepting person on an inspection is a People reference. Confirm that the reference identifies the reviewer who actually accepted the result. If the team corrects an inspection result, reopen the related audit and compare its scope with the scope used for the observed checks.
What your team sees
- Scope Inspection Checks — Review dated observations and measurements by scope.
- Inspection Results — Find audit-linked results with their accepting person.
Follow the work through
Follow the scope and audit process and the inspection and action process. Review the data model when preparing records for import.
