What you can do
Keep the working record clear
Input records separate the lot on hand, a scope review and an applied use. Input Reviewer maintains the register with material name, lot number, unit, quantity on hand and approval expiry. A review records a material name, scope, reviewer, date, quantity and unit. A usage record references a registered input and corrective action with its applied date and quantity.
Input Reviewer considers a material for a scope and records its name, quantity, unit and review date. Action Owner later records use against a corrective action and selects the registered input. Before using the two records together, the team checks the material name and unit, then opens the registered lot to see its expiry and current quantity.
How the work is organized
- Check the register. Review lot number, unit, quantity on hand and approval expiry.
- Record the scope review. Capture the material name, scope, reviewer, date, quantity and unit.
- Trace applied use. Open the usage record to see the registered input, action, quantity and applied date.
What to agree during setup
Agree who maintains register quantities, how material names are written and who reviews lot expiry before use. The scope review names a material as text; it does not reference a register lot. Decide how staff will compare the review with a specific lot before relying on both records. Applied use is linked to an action, which in turn references the scope. A usage entry alone does not update the quantity on hand; ask Input Reviewer to reconcile the register using the team’s agreed process.
Check the handoff on an actual case
Take a scope review for a named material. Ask Input Reviewer to show its reviewer, date, quantity and unit. Find the matching material in the register and check its lot number, expiry and on-hand quantity. Ask Action Owner to open an approved corrective action for the same scope and record applied use against the selected register input. Follow the usage record back to the action, audit and scope. Compare the recorded quantities and units without assuming the text review selected that exact lot. Recheck the register balance with Input Reviewer after the use is recorded.
