How an OT / Surgery Scheduling rollout works
Set up a small encounter cycle before extending the operating scope.
Identify the pilot
Choose a clinical service, its coordinator, clinicians, reviewer and governance administrator.
Prepare reference records
Confirm staff identities, patient numbers, assigned clinicians, care-team access and privilege evidence.
Configure the visit
Agree visit types, encounter status ownership, consent purposes and note types.
Rehearse care activity
Run a visit from Scheduled through review, with a signed note, observation and any specimen or dispensation evidence.
Close the loop
Assign a patient follow-up task, prepare a charge where appropriate and inspect the reports.
What the customer provides
Provide the patient identity source, staff list and access decisions, existing consent wording and versions, clinician verification evidence, and a representative set of encounters. Name the owner of laboratory, pharmacy and billing handoffs. Agree who checks payment confirmation in the operating environment.
Changing it afterwards
Use a new encounter for a later visit to the same patient. Preserve the purpose and version of signed consent records, and review privilege effective dates when a clinician’s authority changes. Rehearse access and report questions after changing responsibilities. Confirm that migrated records retain the correct patient, encounter and staff references.
