Ambulatory clinics
An ambulatory clinic can coordinate patient visits with a small team when each encounter has a scheduled date, assigned clinician and current state. The same record connects the clinical note, measured observations and any specimen or medication evidence. The coordinator can see the daily queue while clinicians focus on their assigned encounters.
How OT / Surgery Scheduling is set up for you
Booking
A coordinator records patient, clinician, date and visit type for each encounter.
Preparation
The team checks consent purpose and signed evidence before the visit; governance staff verify the relevant clinician privilege.
Documentation
Clinicians attribute notes and observations to the specific encounter rather than relying on the patient record alone.
Specimen progress
Ordered, collected, received, tested and rejected states keep a specimen handoff visible.
Follow-up
A patient task names the next action, responsible person and due date after the visit.
Start with a typical clinic day. Book a new patient and a returning patient, then confirm that each encounter points to the right identity. Mark arrivals, record actual start and end, and move the visits through the review state. Have clinicians sign notes for each visit and record one observation with a unit and observed date. Assign a follow-up call after one encounter and confirm it appears for the named person.
The clinic should settle who updates the daily encounter status and who checks expired consent or privilege records. Agree a naming convention for visit types and note types before importing older records. When a laboratory or pharmacy supplies downstream events, use the encounter and accession reference as the handoff path and set a clear reconciliation owner.
