What you can do
Operational review in daily work
The Operations Reviewer looks across a stay rather than judging a single row in isolation. Reservation status, unit status, folio charges, payments and service tasks answer different questions. Together they show whether a guest can arrive, whether an account is ready to close and whether the room can take its next booking.
The reviewer should ask for the linked source record when a decision depends on outside evidence. A charge marked Posted and a payment marked Confirmed are distinct facts; one does not imply the other. The Property Manager owns unit readiness, while Finance Officer owns financial preparation. Make the decision owner clear for the team.
At a shift change, the reviewer can start with the stay status board, then open the reservation behind an item that needs attention. A Confirmed stay with a unit in Cleaning is an arrival issue. A checked in stay with a pending payment is an account issue. The Operations Reviewer should ask the Property Manager or Finance Officer to resolve the relevant source record, then return to the stay before approving a final decision.
How the work is organized
- Stay evidence. The Operations Reviewer reads the reservation with its unit and guest links.
- Account evidence. Finance Officer prepares charges and confirms receipts before final folio review.
- Service evidence. The Property Manager checks open tasks and the unit’s current state before the next arrival.
What to agree during setup
Agree which decisions need the Operations Reviewer and what evidence Finance Officer must prepare first. A draft charge, pending payment or open cleaning task should have a named owner. Decide who resolves a disagreement between the desk’s arrival plan and the unit’s current state. Rehearse a final folio review with an outstanding account explicitly acknowledged.
Check the handoff on an actual case
Use a checked-in guest with a Draft charge, Pending payment and Open task. Ask the Operations Reviewer to identify the unresolved item without changing the Finance Officer’s records. Finance Officer verifies the receipt and prepares the charge; the Property Manager follows the task. Return to the reservation after each owner updates their record. Only then should the team decide whether checkout can proceed and what unit state follows.
