What you can do
Service work in daily work
Service work is tied to a unit and reservation, then assigned to a named staff member. The task type distinguishes cleaning, maintenance and guest service. Due and completion dates show when the work was expected and when it finished. Open, Assigned, in progress and Completed identify the current handoff.
The Property Manager uses the task status and assigned person to find work that has no owner or needs follow-up. Staff should keep the unit and reservation links intact when they update a task; otherwise the next shift cannot tell which stay needed the work. A completed task is evidence of performed work, while room availability still depends on the applicable inspection decision.
Use the due date to find work that may affect an arrival, and the completion date to tell the next shift when staff finished it. A task may be assigned to a person even while its status is still Open; the Property Manager should check both pieces of information. For maintenance, keep the unit’s Maintenance state visible while the responsible person works. For cleaning, a Completed task gives the inspector evidence to review, but the unit decision comes after that review.
How the work is organized
- Task intake. The Property Manager identifies whether work is Cleaning, Maintenance or guest service.
- Assignment. The task stays linked to a unit, reservation and named person while its status advances.
- Completion. Staff record completion; the Property Manager checks the separate unit-readiness decision.
What to agree during setup
Agree who assigns a task when the guest asks for help and who checks the work at shift change. Use the assigned person’s staff record to avoid handing work to someone inactive. Decide how an overdue cleaning task reaches the Property Manager before the next arrival. A completed task should lead to inspection review before anyone changes the unit to Available.
Check the handoff on an actual case
Create a guest-service task for an occupied stay, assign it to a named person and move it through the working states. The next shift should find the task from both the reservation and the unit. After checkout, create a Cleaning task for the same unit. Complete the task, check the inspection result, then decide whether the unit can return to Available. If the task still needs work, leave its current state visible.
