What you can do
Check authority in the care context
A clinician’s privilege record identifies the privilege type, license number, issuing authority, evidence, effective dates and verification status. It links to the clinician’s staff record. A verified status and current dates are important when someone is asked to act on a referral or encounter. The privilege type tells the team whether the recorded authority concerns documentation, review or another listed action.
The staff record links to a user account and carries a name, role title and active state. A care team assignment links that staff member to a patient for a stated access purpose and effective period. Reading these records together helps a reviewer know which person is acting, what professional privilege is recorded, and why that person is connected to the patient.
How the work is organized
- Maintain. Admin keeps user and staff references aligned and records privilege evidence for review.
- Assign. The Care Operations Manager records patient assignment, access purpose and effective dates.
- Check. The Referral Reviewer examines verified privilege and active assignment before progressing a patient referral.
What to agree during setup
Choose who verifies professional evidence and who can change the status of a privilege. Record the effective dates from the authority being checked, and revisit records that become Suspended or Expired. An attachment is evidence to inspect, not a substitute for a verification decision. Keep license number and issuing authority legible to a reviewer.
Agree how user account changes affect staff records. A person marked inactive or with an ended patient assignment should be reviewed before receiving new care work. Access rules for clinical information should be tested using actual role accounts and patient assignments. The record links supply context, while permission configuration determines who can open and change records.
Check the handoff on an actual case
A clinician is assigned to a referred patient. The manager confirms an Active care team assignment whose purpose covers the work. The reviewer opens the clinician’s Verified privilege and checks that its effective dates include the review date. They then check the staff record’s user link. The referral can proceed only after the responsible team makes the review decision.
Try another case with an Expired privilege or Ended assignment. The team should pause the requested action and send it to the appropriate owner for correction. On the next handoff, the reviewer should be able to point to the same clinician and patient records that supported the decision.
