Inputs to calculation

Check employee pay terms, source approvals and calendar cutoff before reviewing the calculated employee detail.

Step by step

  1. Check employee and pay terms Payroll Specialist

  2. Review submitted hours Team Manager

Team Manager checks submitted timecards against the work evidence and approves or rejects them. Review the work date, hours and earning code. Keep the decision with the assigned approver so Payroll Specialist can follow it later.

ApprovalA person approves before the work moves on.
  3. Route variable pay Team Manager or Payroll Manager

Team Manager makes the first-line decision on a submitted one-time payment. Above the $5,000 routing threshold, Payroll Manager receives the internal review notice and records the required payroll decision. Check both decision dates before scheduling the request for its target run.

    • First-line decision and required payroll review recorded
    • Updates One time payments, Pay runs
ApprovalA person approves before the work moves on.
  4. Check the cutoff Payroll Specialist

Payroll Specialist reviews the daily cutoff result for the employee's calendar. Eligible manager-approved cards become Locked with a lock date. Compare the result with the actual period and cutoff days; work awaiting approval retains its existing state.

    • Eligible approved work becomes Locked
    • Updates Timecards, Pay calendars
  5. Compute and reconcile Payroll Specialist

Payroll Specialist starts the Draft cycle. Calculation creates the employee items and detailed pay lines, then the totals process aggregates those lines within the run. Review the Computed result against the approved inputs and investigate differences before requesting payroll approval.

    • Computed detail and stored totals reviewed
    • Updates Pay runs, Pay run items, Payslip lines

Where it usually breaks

And how to keep it from happening.

  • Compensation belongs to another calendar or takes effect after the period being paid.
  • A submitted card is treated as approved because the cutoff has passed.
  • The payroll review notice is mistaken for the required human decision.
  • A repeated import or calculation introduces an unexplained duplicate amount.
