Settlement to posting

Record real bank evidence, reconcile the local payroll journal and authorize posting through Finance.

Step by step

  1. Match external settlement Payroll Manager

Payroll Manager compares authentic bank evidence with the run's number, pay date, currency and net obligation. Controlled intake records the confirmation and linked cycle using the connection's agreed writing identity. Give the reviewers the external bank evidence and retain its reference for later reconciliation.

    • External bank evidence compared with its cycle
    • Updates Pay runs
  2. Observe the Paid transition Payroll Manager

A nonempty confirmation reference can move a linked Computed, Reviewed or Approved run to Paid. Payroll Manager checks the result with Finance and reviews the earlier payroll decision separately. The settlement update also stamps the approval date, so check the original decision evidence.

    • Paid state checked against external evidence
    • Updates Pay runs
  3. Review the draft journal Finance

The settled cycle produces a Draft journal with account lines grouped from its payroll detail. Finance checks account mapping, posting date and debit-credit totals. Resolve an unexplained account target or imbalance before accepting the draft.

    • Account grouping and balance reviewed
    • Updates Journal entries, Journal entry lines, Payslip lines, Pay run items, GL account map
  4. Authorize posting Finance

Finance reviews the journal and authorizes its move from Draft to Posted. If the company uses a connected ledger, retain the export acknowledgement and reconcile it with the local journal and source payroll.

    • Reviewed journal becomes Posted
    • Updates Journal entries, Journal entry lines
ApprovalA person approves before the work moves on.
  5. Check the linked payroll Finance

When the journal is Posted and the linked run is still Paid, payroll moves to Posted with its posting date recorded. Finance checks that the update leaves the payroll amounts, child lines and source links unchanged.

    • Still-Paid run becomes Posted without amount changes
    • Updates Journal entries, Pay runs

Where it usually breaks

And how to keep it from happening.

  • A confirmation refers to another cycle or carries an unexplained amount.
  • Paid status is used as the sole evidence of earlier payroll approval.
  • An account mapping problem survives the journal review.
  • A ledger export lacks the response needed to reconcile its outcome.
