Pilot one group with a volunteer leader, a meal service and a transport movement. Group Coordinator confirms the travel period and participant count. Dispatcher creates a trip with the selected customer, driver and vehicle, then orders the route stops. Driver records actual movement and the final handoff. Operations Manager reviews the charge against that trip.
Agree how volunteer names and user accounts are maintained. Decide who can change a group after services have been arranged and how the leader is told about the change. Use the group calendar and trip schedule side by side during a rehearsal; this checks that the community team and transport team are working from the same dates.
The leader can check the service dates with Group Coordinator before the group sets out.
