What you can do

Match the planned effort to the people doing it

The crew directory identifies each person, trade, trade group, region, active state and weekly capacity. It also shows assigned task counts, assigned estimated hours, assigned actual hours, logged hours, owned issues and managed projects. A site manager can compare these measures before assigning another task. Capacity is a planning reference; the actual commitment still comes from the named assignee and the task’s dates.

Timesheets record a crew member’s work date, hours, description, project and optional site task. They distinguish Billable from Non-Billable and move through Draft, Submitted, Approved or Rejected. The approval workflow acts when an entry is Submitted. A valid positive-hours entry is approved, with a submittal decision and execution receipt recorded. An entry with nonpositive hours, or one that is no longer Submitted when the workflow acts, is blocked and receives a failed receipt.

How the work is organized

  • Crew context. Keep the trade and weekly capacity with the person so assignments can be discussed against the same baseline.
  • Daily labour entry. The crew member records work against the project and, when relevant, the task that consumed the hours.
  • Recorded decision. The site manager checks the result after submission; an approved entry has a separate review and receipt for later checking.

What to agree during setup

Agree who may submit time for a crew member and who reviews approval results and failures. Decide which work is Billable for your commercial process, but keep billing and payment calculations in the system that owns them. Confirm whether site tasks are required for every labour entry or only where a task exists. Establish how rejected entries are corrected and resubmitted, with the original decision retained for review.

Set weekly capacity for active crew members and check the trade groups used in the first pilot. Decide whether the project manager or site manager owns workload changes when one person is assigned across sites. These agreements make a high assigned-hour figure actionable rather than just a number on a directory record.

Check the handoff on an actual case

A structural engineer is assigned a formwork task on an active site. The trade lead compares the engineer’s weekly capacity and already assigned hours before setting the task estimate and due date. After work on Tuesday, the engineer records a timesheet with the work date, project, task, description and positive hours, then submits it. Submission triggers the approval workflow. The site manager checks the resulting decision and receipt against the intended project and task.

For the exception rehearsal, submit an entry with zero hours. The approval attempt must fail and leave a failed receipt. If an entry changes out of Submitted before the workflow acts, it must fail rather than approve stale work. Review both outcomes against the original entries before relying on the approval queue for a live cycle.

What your team sees

  • Timesheets Awaiting Approval — Submitted entries with worker, project, task, work date and hours for checking the workflow result.
  • My Timesheets — The crew member’s dated labour entries and current status.
  • My Site Tasks — Assigned work alongside the labour being recorded.

Follow the work through

Site task execution follows the task behind the hours. Timesheet submission and approval shows the approval and its failure cases.
