Who it's for

Policy operations

A policy team that revises procedures after assurance work can keep the proposed version beside the assessment that prompted it. The policy acknowledgment record names a version, audience and required reader count. A submitted revision receives a dated independent decision. The acknowledgment date captures the later audience event rather than blending it with approval.

How Policy Management System is set up for you

Version identity

Agree a naming rule that lets readers distinguish one revision from the next.

Review authority

Name the Independent Assurance Reviewer who decides on the submitted revision.

Audience rule

Define which readers count toward completion and how acknowledgment is recorded.

Linked cause

Use the parent assessment to show what prompted the policy update.

A policy team that revises procedures after assurance work can keep the proposed version beside the assessment that prompted it. The policy acknowledgment record names a version, audience and required reader count. A submitted revision receives a dated independent decision. The acknowledgment date captures the later audience event rather than blending it with approval.

Start with one organization, one policy version and one defined audience. The Control Owner prepares the acknowledgment record with its version and revision. The reviewer checks the related assessment and records approval or rejection with the date. Then the team records the audience acknowledgment according to its agreed rule. An Auditor should be able to identify the version that was approved, the audience expected to read it and the date acknowledgment was recorded.

If a reviewer rejects the version, the Control Owner keeps that record and prepares a corrected version for another decision. If the organization delivers policy content through another channel, configure that connection and establish how the resulting acknowledgment date is brought back to this record. Test that handoff with one real case before expanding the audience.
