What you can do
Make each request traceable
A vendor application belongs to an event and an organization. The Vendor Coordinator records requested booth quantity, a permit reference and the submission time. Draft and Submitted distinguish an unfinished request from one ready for review. The application status can then show Approved, Rejected or Completed after a decision and later work.
An approval alone is not a booth award. Before awarding space, the coordinator checks permit evidence and remaining event capacity. That prevents a request from using capacity merely because someone changed its status. The market text and parent event help the team keep the request in its intended market. Decision time provides a useful handoff point when a vendor asks what happened.
How the work is organized
- Request. Each application links an event and operator organization.
- Decision. Submitted requests carry booth demand and a permit reference for review.
- Award. The operation receipt records the outcome of the guarded space award.
What to agree during setup
- Submission. Agree when a request becomes Submitted and who checks it.
- Permit review. Decide which evidence the coordinator needs before an award.
- Space limit. Compare requested booths with the capacity for the parent event.
Agree what counts as permit evidence and who checks it. Decide how the coordinator measures remaining event capacity before awarding booths. A change to the application’s requested quantity should trigger another check.
Check the handoff on an actual case
A vendor asks for booth space at an Open weekend market. Vendor Coordinator enters the requested quantity and permit reference, then submits the application. After checking the permit evidence and capacity, the coordinator records the application decision. An Approved status alone does not reserve booths: the award attempt must pass its own capacity check and leave an operation receipt.
For rehearsal, submit a second request that would exceed the remaining space. Confirm that the team can see why the award failed without changing the parent’s status or creating another award on retry. Market Manager should be able to inspect the event and the original receipt before settling the exception.
What your team sees
- Submitted Vendor Applications — Requests ready for the coordinator to assess.
- Vendor Decision Board — Requests grouped by their current decision status.
Follow the work through
Follow market planning through event review, then use vendor review and admission to close for the later handoffs. Implementation gives the team a pilot sequence.
