What you can do
Commit a driver and vehicle to the right load
A load assignment relates one load to a driver and vehicle over a start and end interval. Its state distinguishes a held commitment from one confirmed or dispatched. Completed and cancelled assignments remain in the register so an earlier plan can be explained after the shift. The interval is important: the team should not place the same resource in overlapping work while treating both commitments as available.
Driver records hold an active state, an eligibility end date and an external authority reference. Vehicle records hold an active state, equipment class, capacity, readiness and external fleet identifier. Vehicle defects add a reported time, severity, repair evidence and release time. Together these records give a supervisor the context to review an assignment before dispatch.
How the work is organized
The App Administrator maintains driver and vehicle master records. The Transport Supervisor inspects the commitments and readiness for operational use.
- Interval commitment. Each assignment has a start and end, load, driver and vehicle.
- Driver eligibility. The driver record carries the date through which eligibility applies.
- Vehicle condition. Readiness and defect evidence explain whether equipment can be used.
What to agree during setup
Agree who supplies driver eligibility and vehicle readiness, and how often those sources are refreshed. Define the time zone for assignment intervals and the response when an eligibility window expires during a planned run. Confirm which equipment classes and capacity values are relevant to the loads the team handles. The external authority and fleet identifiers should be mapped to the organization’s existing systems before importing records.
Rehearse an overlapping assignment and a vehicle held for a defect. The supervisor should see both before treating a dispatch commitment as usable. A repair release should carry its evidence and time; a verbal assurance should not silently change the vehicle record.
Check the handoff on an actual case
A load needs a tractor and driver for a morning terminal pickup. The administrator confirms that the driver is active and eligible through the interval. The vehicle has the required equipment class, capacity and a Ready state. The supervisor examines Assignment Schedule to see whether either resource is already committed at that time, then reads the assignment’s confirmed or dispatched state as the commitment progresses.
Later, a defect is reported on the vehicle. The defect record identifies its severity and repair evidence. A new assignment must be considered against the vehicle’s current readiness. After repair release is recorded, the administrator can update the equipment state according to the agreed fleet procedure. Earlier assignments remain in the register.
What your team sees
- Assignment Schedule — Held, confirmed and dispatched commitments with start and end times.
- Vehicle Readiness — Equipment marked ready, with class and capacity for matching.
- Active Loads — Load promises that the dispatch commitments support.
