Who it's for

Internal initiatives

Internal work still needs an owner, schedule and clear handoffs. A team can use an Internal project for an initiative, set package estimates and assign tasks to the people doing the work. Team member weekly capacity and assigned estimate hours help a manager spot a crowded plan. Risks and milestones give the lead an early signal when the planned date needs discussion.

How Product Roadmap Tool is set up for you

Ownership

Put a Delivery Lead on the project and a named owner on each package and milestone.

Workload

Compare assigned estimate hours with weekly capacity before adding tasks to a team member's queue.

Progress

Review the task board and pending checkpoints together during the operating meeting.

Decision

Record an Approved, Rejected or Returned review result when a delivery subject needs a person's decision.

Select an initiative with a short, agreed delivery window. Enter the organization that owns the work, set the project delivery method to Internal, and name its owner. Create packages for the major bodies of work and add tasks with realistic estimates. Open Tasks In Flight during the weekly meeting. Ask each assignee to update status and explain any Blocked task. The Project Manager should inspect assigned hours and capacity before making another commitment.

Place a milestone on the next handoff date. Add risks that could affect that date, including a mitigation and owner. When a checkpoint is missed, mark it Missed and use Release Milestones At Risk to start the discussion. The lead can change the project to at risk when the delivery picture warrants it. Time entries show where effort has been spent after the approval workflow completes.
