What you can do

Read delivery and billing in one project context

Project Margin Desk compares contract value with delivered and billed amounts per project. It also shows realization, projected margin and over-budget signals, with a route back to the project record. Commercial Lead can use that context to ask a specific question: has delivery moved ahead of billing, are hours rising faster than the budget, or is a disputed pay application holding collection? The source records remain the place to resolve each issue.

Project records hold contract value, budget hours, delivered amount, delivered cost, logged hours, invoiced work amount, approved work amount, expense total and calculated margin measures. Work packages, time and expenses explain activity behind those totals. Site milestones and progress billings explain the milestone and collection side. A commercial review should move from the project summary to the underlying record before a manager changes a status or amount.

How the work is organized

  • Contract position. Project value and budget hours provide the comparison point.
  • Delivery evidence. Approved work, logged hours and site expenses explain actual activity.
  • Billing position. Milestones and progress billings show what has been invoiced and received.

What to agree during setup

Agree which project amounts are reviewed at the weekly commercial meeting and who investigates a variance. Project Manager should own delivery explanations; Commercial Lead should own decisions about billing timing and contract exposure; Billing Clerk should own pay application follow-up. Decide how the team will record contract changes and review the project value before using margin measures for a decision.

Set a consistent cut-off for comparing the dashboard with current work. A package submitted after the meeting may not appear in the figures reviewed at the meeting. A milestone can be Approved yet remain there after a failed invoice operation. A progress billing marked Received carries a payment receipt but should still be reconciled with the finance process the organization uses.

Check the handoff on an actual case

A fixed fee site job is approaching its budget hours. Project Margin Desk flags the project as over budget while showing delivered and billed amounts. Commercial Lead opens the project record and sees the hours used and remaining. Project Manager checks the worker time and approved work packages to explain the increase. Billing Clerk checks whether the related milestone was invoiced and whether the pay application is overdue. The team can then decide whether the next action is a delivery correction, a billing follow-up or a contract discussion with the owner.

The same review works for an active project with healthy margin but slow collection. The commercial question changes, yet the project record still ties owner, manager, work and billing together.

What your team sees

  • Active Projects — Current jobs with owner, manager, dates and status for drilldown.
  • Approved Work Not Yet Billed — Approved delivery that needs a commercial handoff.
  • Progress Billings Overdue Or Disputed — Collection exceptions that affect the project position.

Follow the work through

Project delivery to collection shows how the project position accumulates. Billing and collection covers the pay application follow-up.
