What you can do
Move an approved milestone into a payable claim
A site milestone carries the project, due date, amount and deliverable summary that explain the planned billing event. When Commercial Lead approves the milestone, the invoice workflow checks that an amount and project are present. A successful operation marks the milestone Invoiced and records a Site Milestone Invoice receipt. A failed check leaves it Approved, with a Failed receipt. Billing Clerk can therefore investigate the same milestone record instead of assuming the invoice was completed.
A progress billing references the site milestone. It holds a pay application number, amount, due date, paid date, method, status and reference note. The billing record is the team’s place to monitor what was scheduled, invoiced, received, overdue or disputed. When a billing is marked Received, a Payment Record operation receipt is written for the collection event.
How the work is organized
- Milestone authority. The approved site outcome, project and amount precede the invoice operation.
- Pay application. The progress billing carries its number, due date and amount.
- Collection outcome. Received status and the payment receipt mark the recorded collection.
What to agree during setup
Agree who decides that a deliverable is ready to bill and what evidence that person checks. Commercial Lead should review the milestone amount and project before approval. Billing Clerk should choose a consistent pay application numbering pattern and agree when Scheduled becomes Invoiced. Decide how the team will use Overdue and Disputed, including who owns the follow-up and what reference note records the latest discussion.
Plan the boundary with accounting. The app tracks the progress billing and its receipt; the finance team needs its own process for payment matching or ledger posting. Agree how the paid date, amount received and payment method will be captured so a later reconciliation can match the billing record to external evidence.
Check the handoff on an actual case
A site milestone for an approved inspection has a project and amount. Commercial Lead reviews the deliverable summary and marks it Approved. The invoice workflow moves it to Invoiced and writes a successful operation receipt. Billing Clerk creates a progress billing linked to that milestone, enters the pay application number, amount and due date, then marks it Invoiced when raised. The owner pays; Billing Clerk records the paid date and marks the billing Received. A Payment Record receipt shows that the collection action ran.
If the milestone fails the amount check, the invoice operation leaves it Approved and records a failed result. If the billing passes its due date unresolved, Billing Clerk can use the overdue or disputed list to keep the issue visible alongside the pay application.
