What you can do
Time and expenses
Capture hours and engagement costs with a clear review queue. A team member records work date, hours, billable flag, client, engagement and notes. Each time entry has a draft, submitted, approved or rejected status. Billable and nonbillable hours are calculated from that record.
How the work is organized
- Log consultant time. A team member records work date, hours, billable flag, client, engagement and notes. Each time entry has a draft, submitted, approved or rejected status. Billable and nonbillable hours are calculated from that record.
- Record an expense. The consultant records category, amount, date, billable flag, receipt URL and engagement. Expense status distinguishes draft, submitted, approved, reimbursed and rejected items.
- Review the queue. Submitted time and expenses appear in separate saved lists. An engagement manager can review the item with its referenced client or engagement. Expenses can also be compared with the engagement expense total.
The team can follow each decision through its source record. References connect work to the client engagement, while statuses keep the current queue readable. Review a record before changing its status so the next person can understand why it moved.
What to agree during setup
Agree the cadence for time entry, receipt requirements, expense categories, who reviews each queue and who may mark an approved expense reimbursed. Define how the team handles work spanning client engagements. Keep record ownership clear when a colleague is away. Use the status lists during a pilot to make sure submitted items are visible to the person expected to act.
Check the handoff on an actual case
A systems engineer logs work for a client engagement on Monday and enters a travel expense for the same engagement. Both begin as drafts and move to submitted. The manager checks the work date and hours in the time list, then checks the travel amount and receipt URL in the expense list. The records remain distinct, so a service line approval does not silently approve the consultant’s expense. The manager can later compare accumulated costs with the engagement budget and delivered value.
The manager opens each submitted item from its own list. A travel expense has an amount, category and receipt URL; a time entry has a work date, hours and billable flag. Review both engagement references before comparing the expense total or logged hours with the engagement budget.
