How a PSA for Managed Service Providers rollout works

Set up one agreement cycle, rehearse the decisions and expand after the records reconcile.

  1. Name owners

Choose Account Owner, Service Delivery Manager, Service Reviewer, Billing Specialist and Finance Manager for the first client agreement.

  2. Prepare master records

Enter the organization, engineers and client with billing terms and account ownership.

  3. Set the agreement

Record type, value, dates, hours budget, client and delivery manager, then check the schedule.

  4. Run delivery

Have an engineer log service, time and an expense against the agreement. Submit a billable line and verify its decision and receipt.

  5. Run billing

Prepare and approve a milestone with an amount and agreement. Check the invoice result, create a linked monthly billing record and record collection after confirmation.

  6. Review economics

Open Agreement Margin Desk and compare delivery, billed amount and hours burn with the underlying records.

What the customer provides

Bring a client list, the agreements being operated, their value and hours budgets, service team ownership, engineer rates and capacity, milestone terms, and current invoice identifiers. Also identify where contract files, expense receipts and payment confirmations live. A small, complete agreement cycle is enough to test the operating pattern before importing older history.

Changing it afterwards

When a client changes terms or an agreement changes manager, update the owner records and review the next billing cycle. When the team changes a rate or budget, inspect existing service entries and agreement economics before interpreting a new margin result. Rehearse service approval and milestone billing after a process change, including the failed-guard cases, so staff know what an incomplete operation looks like.
