What you can do

Approve the work that can be billed

A Consultant records a service entries line for delivered work with its date, description, hours, rate, billable flag, engagement and team member. Draft work can be corrected before submission. Submission places the line in the review queue. The approval operation checks that the line is billable, has hours and belongs to an engagement. When it passes, the line moves to Approved and leaves a review decisions row and an operation receipts row. A failed guard leaves it Submitted with a Failed receipt so the manager can correct the underlying issue.

An Engagement Manager inspects the work description, engagement context and approval result. The manager can follow up when a recorded line does not match the client assignment. Approved and invoiced amounts sit beside the service line, allowing Finance Manager to distinguish reviewed delivery from billing recorded later.

How the work is organized

  • Entry. Record service date, description, hours, rate and the billable decision with the correct consultant and engagement.
  • Decision. Use Submitted and Approved states to separate recorded work from reviewed work.
  • Evidence. Read the decision and operation result beside the line when explaining an approval outcome.

What to agree during setup

Agree which managers inspect approval results for each engagement, what evidence belongs in the description or attachment, and how consultants correct a submitted line that fails the checks. Decide how rates are maintained and who resolves a disputed billable choice. Review who may enter and change service lines.

Check the handoff on an actual case

A consultant enters a two hour workshop for an active client engagement, marks it billable, and submits it. The approval checks run on submission. The Engagement Manager confirms that the workshop belongs to the engagement and that the recorded hours make sense. Check that the line is Approved and that the matching decision and successful operation receipt exist. For a failed submission, the manager uses the Submitted status and Failed receipt to resolve the entry before including it in approved service amount.

Before billing review, compare approved service amount with invoiced service amount on the engagement. The difference directs Finance Manager to work still awaiting billing treatment.

What your team sees

  • Approved Not Invoiced — Review approved lines with their amount and invoiced amount.
