What you can do
Certificates and milestones in daily work
Keep cohort milestones and their billing readiness visible. Certificates milestones holds amount, due date, billing readiness and received payment totals. Tuition billing links the resulting billing records to the milestone; operation receipts shows the invoice operation result.
How the work is organized
- Record owner. Program Manager owns the cohort context. Billing Coordinator maintains the certificate or milestone name, due date, amount, engagement and billing status. Approval of the milestone triggers the invoice operation, which checks the record.
- Shared context. The cohort engagement connects sponsoring clients, delivery activity and later billing. Staff use the same engagement link when a question crosses teams.
- Review point. Check the record and its related status before the next owner acts. Keep the original item available when a correction is needed.
What to agree during setup
Agree which human decision makes a milestone Approved and where the amount comes from. Review the due date before approving the milestone for billing. Use the exception list and operation result to correct a failed attempt on the same record. Make the handoff owner explicit so a pending record has someone who can resolve it. Use a real cohort during rehearsal and compare the visible record with the source agreement or delivery note.
Check the handoff on an actual case
A cohort reaches a named delivery milestone. The billing coordinator reviews its amount and linked engagement then approves the milestone for billing. That change triggers Certificate Invoice, which checks those guards and moves a valid Approved milestone to Invoiced, writing a Succeeded operation receipt. A missing amount or engagement leaves it Approved and writes Failed. Trace the change from the source record to the linked cohort and its relevant list. Check the date, owner and amount against the underlying teaching or billing event. Correct the source item when they differ, then check the cohort totals again.
A milestone due date is a prompt for the billing team to inspect the underlying delivery event. The amount and cohort link are required by the invoice operation, so verify both before approval triggers it. If the operation fails, keep the Approved record in the ready list and use its receipt to direct a correction. The later tuition item should point back to this milestone.
