What you can do

Cohort engagements in daily work

Give each contracted cohort a delivery baseline and margin context. Cohort engagements carries the commercial and date baseline. Linked delivered sessions, instructor time entries, delivery expenses and certificates milestones explain the delivery and billing totals. The custom Cohort Margin Desk opens the engagement for the underlying detail.

How the work is organized

  • Record owner. Program Manager sets the client, contract value, budget hours, dates and provider unit. Account Owner confirms the sponsoring client. Billing Coordinator follows milestones back to the same engagement.
  • Shared context. The cohort engagement connects sponsoring clients, delivery activity and later billing. Staff use the same engagement link when a question crosses teams.
  • Review point. Check the record and its related status before the next owner acts. Keep the original item available when a correction is needed.

What to agree during setup

Agree what qualifies an engagement to move from Proposed to Active, how budget hours are set, and who may put work on hold. Decide how the team handles a changed contract value so margin review has a trustworthy baseline. Make the handoff owner explicit so a pending record has someone who can resolve it. Use a real cohort during rehearsal and compare the visible record with the source agreement or delivery note.

Check the handoff on an actual case

A client commissions an instructor led cohort for a fixed fee. The program manager enters its start and end dates, contract value and budget hours, then marks the engagement Active. Delivered sessions and expenses accumulate against that one record. The Cohort Margin Desk compares contracted value, delivered value, billed value and cost as delivery proceeds. Trace the change from the source record to the linked cohort and its relevant list. Check the date, owner and amount against the underlying teaching or billing event. Correct the source item when they differ, then check the cohort totals again.

At each delivery review, compare logged hours with budget hours and invoiced amounts with delivered value. The margin figures are useful when the underlying session, time and expense records all point to the intended engagement. If the cohort is on hold, the program manager should inspect upcoming dates and open milestones before changing its status again. The same record remains the reference through completion.
