What you can do
Instructors and resourcing in daily work
Keep instructor capacity and rates available for cohort planning. Instructors staff is the staff master for teaching and delivery. Home organization links each person to the provider unit. Delivered sessions and instructor time entries carry actual work back to the instructor, rather than treating the role label as an assignment schedule.
How the work is organized
- Record owner. Admin maintains staff identity, role, home organization, bill rate, cost rate and weekly capacity. Program Manager reviews capacity when assigning delivery. Instructor records the time and sessions that contribute to logged hours.
- Shared context. The cohort engagement connects sponsoring clients, delivery activity and later billing. Staff use the same engagement link when a question crosses teams.
- Review point. Check the record and its related status before the next owner acts. Keep the original item available when a correction is needed.
What to agree during setup
Agree who owns rate changes and how weekly capacity is defined for part time delivery staff. Compare planned cohort dates with logged hours, and review unusually high utilization before committing additional instruction. Make the handoff owner explicit so a pending record has someone who can resolve it. Use a real cohort during rehearsal and compare the visible record with the source agreement or delivery note.
Check the handoff on an actual case
A lead instructor is available for a new cohort while another active engagement is already consuming teaching hours. The program manager reviews the cohort dates and the instructor capacity record before assigning delivery. As sessions and time entries are recorded, billable hours, total hours and utilization become visible on the staff record. Trace the change from the source record to the linked cohort and its relevant list. Check the date, owner and amount against the underlying teaching or billing event. Correct the source item when they differ, then check the cohort totals again.
Use the instructor role label to understand a person’s delivery function, then check actual hours and cohort dates before committing them. A capacity figure is a planning input; recorded teaching and time entries show what happened. When someone changes home organization or rate, agree who updates the staff record and which cohort owner checks the downstream cost view.
