What you can do
Session delivery in daily work
Record delivered instruction and let the submission workflow check billable sessions before downstream billing. Delivered sessions is the actual teaching record. Its calculated amounts and delivery cost support the engagement totals. Review decisions records the session decision and operation receipts records whether the operation succeeded.
How the work is organized
- Record owner. Instructor records the session date, engagement, team member, hours, rate and billable flag. Delivery Reviewer examines submission outcomes and failed checks. Program Manager checks their effect on cohort delivery.
- Shared context. The cohort engagement connects sponsoring clients, delivery activity and later billing. Staff use the same engagement link when a question crosses teams.
- Review point. Check the record and its related status before the next owner acts. Keep the original item available when a correction is needed.
What to agree during setup
Agree who can submit, correct and inspect a session decision. Review session date and rate before submission, and use the operation receipt when a session remains submitted after an approval attempt. Keep the correction on the original session so the cohort totals stay traceable. Make the handoff owner explicit so a pending record has someone who can resolve it. Use a real cohort during rehearsal and compare the visible record with the source agreement or delivery note.
Check the handoff on an actual case
An instructor delivers a teaching session and submits it with positive hours, a cohort engagement and the billable flag. Submission triggers Session Delivery Approval, which validates these details and moves an approvable item to Approved and writes a review decision plus an operation receipt. If hours or engagement are absent, or the session is not billable, it remains Submitted and a Failed receipt captures the attempt. Trace the change from the source record to the linked cohort and its relevant list. Check the date, owner and amount against the underlying teaching or billing event. Correct the source item when they differ, then check the cohort totals again.
The Delivery Reviewer should inspect the session itself before relying on an aggregate approved amount. Compare the session date and instructor with the cohort delivery window. If an attempt failed, retain its receipt and make a visible correction to the original item. On a later successful workflow check, the decision and receipt should identify the same session that the billing coordinator will review.
