What you can do
Tuition billing in daily work
Follow milestone invoices, collected amounts and payment exceptions. Tuition billing records invoice and payment state. Certificates milestones aggregates received and invoiced payment amounts, while cohort engagements carries the wider contracted and billed context.
How the work is organized
- Record owner. Billing Coordinator maintains invoice number, amount, due date, paid date, method and payment status. Account Owner contacts the sponsoring client when a dispute needs commercial resolution. Program Manager checks the engagement impact.
- Shared context. The cohort engagement connects sponsoring clients, delivery activity and later billing. Staff use the same engagement link when a question crosses teams.
- Review point. Check the record and its related status before the next owner acts. Keep the original item available when a correction is needed.
What to agree during setup
Agree how an external invoice number is supplied and who confirms that money was actually received. Match the received amount to the billing record before changing status. Keep disputed items with their original milestone so collection decisions can be traced. Make the handoff owner explicit so a pending record has someone who can resolve it. Use a real cohort during rehearsal and compare the visible record with the source agreement or delivery note.
Check the handoff on an actual case
A milestone is invoiced and a tuition billing record is created against it. The billing coordinator records the invoice number and due date. If a payment arrives, marking the billing record Received triggers a Payment Record receipt for that app action. If collection runs late or is disputed, the exception list keeps the item in view alongside the milestone and sponsoring engagement. Trace the change from the source record to the linked cohort and its relevant list. Check the date, owner and amount against the underlying teaching or billing event. Correct the source item when they differ, then check the cohort totals again.
When a sponsor pays part of an invoice, compare the received amount and outstanding amount with the billing record and the linked milestone. Keep the invoice number stable so the client and billing team refer to the same charge. A dispute belongs with the original item until the account owner resolves it. Review the receipt after a status change alongside the external payment confirmation.
