Systems to connect
- Printer. Agree how the production team passes the approved edition facts, print quantity and release date to the printer and reconciles the reply.
- Distributor or retailer. Agree which publication and edition identifiers the downstream distributor needs for its own order and delivery work.
- Finance system. Decide whether approved and paid project costs must be reconciled with the finance ledger, and who owns that reconciliation.
- File storage. Agree how attached contracts and content file versions are retained and accessed by the people who review them.
How connections are governed
Name the source record and the owner before moving information across a boundary. Print editions holds the ISBN and edition details; content files holds the submitted version; rights agreements holds the relevant contract and term. The person sending details should check that the version and title references match the recipient’s request. Ask the receiving team to confirm the details in its own process, and reconcile corrections before another handoff. See implementation for the pilot sequence.
