Systems to connect
- Accounts payable. Send approved order and posted receipt evidence to the customer’s invoice system. Agree how invoice differences return with their order and receipt references, and how completion evidence supports purchasing closure.
- Inventory. Agree the accepted quantity and item identifiers needed by the customer’s stock system. Reconcile returns and reversals with the original purchasing event before updating inventory externally.
- Warehouse. Connect warehouse-managed locations when receipt information originates there. Preserve the order revision and external source identity so a retransmitted arrival can be recognized.
- Supplier communication. Configure how orders and quotation invitations reach suppliers, and how responses and acknowledgments are retained. Match an acknowledgment to the actual order revision.
- Budgeting. Exchange the department, cost center and commitment information needed by the customer’s budgeting system. Agree which system owns the budget decision and who reconciles differences.
How connections are governed
For each destination, agree the event, identifiers, responsible owner and acknowledgment expected. Retain delivery status, attempt count, external reference and last error. A Failed or Pending delivery remains work to reconcile; it should not be treated as confirmation that the receiving system accepted the transaction.
During setup, rehearse a successful delivery, a retry and a correction. Use the same event identity when retrying an unchanged business action. Review the resulting receipt with the Controller and the destination owner before enabling a wider purchasing scope.
