Agreement call-offs

A repeat purchase begins with the agreement that authorizes it. The Procurement Manager owns the commercial scope and renewal decision. The Buyer prepares a release using the applicable rate, then follows its generated order through supplier acknowledgment and receiving. Keep the term and remaining commitment visible during each call-off.

Step by step

  1. Review the agreement Procurement Manager

The Procurement Manager approves the supplier agreement through the applicable authority route before signing and activation. Confirm the contracting party, term and total commitment. Retain the signed document reference and responsible identity.

    • Pending approval to Active after approval and signing
    • Updates Master agreements, Spend approvals, Approval steps

  2. Prepare the call-off Buyer

The Buyer selects an Active agreement and prepares the Draft release with its schedule, department and cost center. Each line identifies the item, quantity and applicable contract rate. Confirm that the rate and agreement periods cover the intended purchase.

  3. Check and release Buyer

The Buyer checks the call-off against remaining approved capacity. Once the conditions are satisfied, release the call-off and retain its generated order and event. The signed allocation connects consumption to the agreement and spending authority.

    • Updates Commitment allocations, Procurement events, Purchase orders
  4. Receive and review renewal Procurement Manager

Receiving follows the generated order. The Buyer monitors the schedule and the Procurement Manager reviews expiring terms before more demand is committed. A renewal decision establishes the next approved basis for purchasing.

    • Updates Receipts, Master agreements

Where it usually breaks

And how to keep it from happening.

  • Wrong period. An agreement is still active while the selected item rate has already expired.
  • Unreconciled opening balance. Historical releases are omitted from the commitment used to assess the next call-off.
  • Assumed renewal. The team continues purchasing during a renewal discussion without an approved agreement covering the release.
