Receiving and resolution

Receiving establishes what the business actually accepted against its purchase order. That evidence informs outstanding quantities and the accounts payable handoff. Use the same order and line references when a supplier sends replacements or an invoice arrives with a disputed amount.

Step by step

  1. Record arrival Receiving Clerk or Requester

The Receiving Clerk records the receiving location, date and order revision. Enter actual line quantities and the relevant packing slip, lot or serial details. Authorized desk deliveries can be confirmed by the Requester responsible for the purchase.

    • Actual arrival tied to order revision
    • Updates Receipts, Receipt line items
  2. Inspect and post Receiving Clerk

The Receiving Clerk records accepted and rejected quantities on the receipt lines and explains rejection reasons. After inspection, post the receipt from Received to Posted. Keep a partial order open for the remaining quantity. The configured connection carries the resulting evidence to the relevant destination.

    • Line inspection recorded; receipt Received to Posted
    • Updates Receipts, Receipt line items, Procurement events, Integration deliveries
  3. Authorize a return Procurement Manager

When goods must go back, the Receiving Clerk raises the return and the Procurement Manager authorizes it before shipment. Record whether the return affects previously accepted quantity and whether the supplier owes replacement or credit.

    • Draft to Authorised before shipment
    • Updates Supplier returns

  4. Resolve the invoice difference Buyer

The Buyer investigates an Open match exception with the Receiving Clerk and Controller. Mark it in progress while checking the order, invoice reference and receipt. Apply the documented correction and mark it Resolved when that work is complete.

    • Open to in progress to Resolved
    • Updates Match exceptions, Purchase orders, Receipts
  5. Reconcile the handoff Procurement Manager

The Controller checks delivery acknowledgments and connected accounts payable completion evidence before order closure. The Procurement Manager reviews the resulting delivery and quality evidence when publishing the supplier's period performance.

    • Completion evidence and reviewed period results
    • Updates Integration deliveries, Purchase orders, Supplier performance

Where it usually breaks

And how to keep it from happening.

  • Arrival treated as acceptance. Damaged goods enter accepted quantities before inspection is recorded.
  • Unclear return effect. A return of rejected goods is treated like a reversal of goods already accepted.
  • Unconfirmed delivery. A handoff is assumed complete while its connection delivery remains Failed or Pending.
