Calibration and training

Inspection evidence depends on the equipment and people behind it. Calibration records show equipment identity, last calibration, next due date, status and certificate link. Training records show the assigned person, topic, standard, due date, completion and assessment result.

What you can do

Check the instrument behind a result

An inspection can refer to the calibration record for the instrument used. The record distinguishes active equipment from equipment out for calibration, out of tolerance or retired. Its due date supports the calibration list, while the certificate link gives the reviewer the supporting document location. Inspector / QC Operator can view these records while performing inspections. Quality Manager controls the review when equipment is found out of tolerance.

When a calibration record becomes out of tolerance, the workflow flags inspections that referenced that record and were recorded on or after its last calibrated date. It sets their calibration review indicator to Yes. This identifies the affected inspection population for human review. The workflow does not rewrite measurements or the equipment record. Inspector / QC Operator reviews the measurement evidence on each flagged inspection with Quality Manager. The manager then decides how to handle affected material through the existing inspection and nonconformance records.

Training can be linked to a nonconformance report, CAPA or quality standard. A qualifying major or critical NCR closure can create a retraining assignment for the source inspection’s inspector when the affected item’s active specification resolves to a standard in a named regulated framework. Assigned, in progress, completed, overdue and waived statuses distinguish the training cycle. The record carries dates and an assessment score when applicable.

How the work is organized

  • Equipment record. Keep the instrument ID, calibration dates and status current.
  • Affected inspection review. Follow a flagged inspection back to the instrument and measurement.
  • Training assignment. Tie the topic and trainee to the quality event that prompted learning.

What to agree during setup

Agree which instrument is referenced on each inspection and how certificate links are maintained. Assign responsibility for equipment status changes and for reviewing flagged inspections. For training, agree the topic, due date and evidence of completion. Quality Manager should check the standard linked to the affected specification before expecting an event-based training assignment.

Check the handoff on an actual case

Inspect a lot with an active calibrated instrument and retain its inspection reference. Change that instrument’s status to out of tolerance with a last calibration date before the inspection. Check the inspection’s review indicator and open its results. Then close a major NCR tied to a source inspection and an active specification governed by a qualifying framework. Confirm the assignment names the source inspector and links the NCR and standard. Recheck that a different framework is handled according to the team’s agreed training process.
