What you can do

Keep definitions and revisions identifiable

Courses binds a named service definition to its organization, active value, date range and policy reference. Source mappings stores versioned source and target field definitions for a course. State history records the actor, time, source revision, operation key, reason and old and new status for each enrollment transition.

How the work is organized

  • Maintain the course. The Education Administrator checks the organization, dates, active value and policy reference.
  • Review a mapping. Its version and effective date distinguish a new source rule from an older one.
  • Read the transition. State history identifies the actor, source revision and reason for each recorded change.

What to agree during setup

The Education Administrator agrees course codes and dates with the Instructor before enrolling real cases. Review mapping names and effective dates whenever an external source changes. Preserve the source revision that a reviewer saw and the prior state-history entries when a correction follows delivery.

Check the handoff on an actual case

A course date changes while an enrollment is under review. The Education Administrator checks the course configuration; the Instructor checks whether the enrollment needs a new revision. The Academic Reviewer decides against the revision actually presented. If delivery has already occurred, the team preserves the earlier operation and records the successor review and follow-up action.

In the rehearsal, ask the Instructor to identify the source record and explain the change. Ask the Academic Reviewer to find the supporting evidence and decision for the same revision. The Read Only Analyst should be able to inspect the recorded outcome without editing it.

At the handoff, compare the latest status with the source reference and recorded reason. Identify who made the last decision before acting on a corrected case.

What your team sees

  • Course schedule — Active courses show their organization and start and end dates.
  • Delivered enrollments — Completed cases retain their delivery reference and revision.

Follow the work through

Use the source and revision when passing a case to the next person. If an action remains open or an operation has an uncertain result, inspect its related records before recording the outcome.

Review the implementation plan and the data model before preparing your first import.
