What you can do

Know which action produced an outcome

Operation runs captures an operation key, source revision, input hash, status and result reference. Operation steps adds the ordered action and external receipt evidence. Execution attempts records retries and provider references. These records let an operations team investigate a failed or unknown outcome before using the enrollment delivery reference as the final handoff.

How the work is organized

  • Trace the run. The operation key and source revision identify which approved case an action concerns.
  • Inspect each step. An external receipt and step status help explain what happened before a retry.
  • Reconcile the attempt. A failed or unknown provider result needs investigation before the Instructor records delivery.

What to agree during setup

Agree which external provider supplies a receipt and which reference is authoritative when the same action is retried. A result reference and a delivery reference should be checked against the corresponding operation and enrollment. Assign reconciliation ownership for failed, unknown and reconciliation-required states.

Check the handoff on an actual case

A case is decided, but the external action returns an unknown outcome. The team examines the attempt and operation step, including any external receipt ID, before retrying. An additional attempt uses the same operation key so the earlier action remains traceable. Only after the result can be reconciled does the Instructor record the delivery reference on the enrollment.

In the rehearsal, ask the Instructor to identify the source record and explain the change. Ask the Academic Reviewer to find the supporting evidence and decision for the same revision. The Read Only Analyst should be able to inspect the recorded outcome without editing it.

At the handoff, compare the latest status with the source reference and recorded reason. Identify who made the last decision before acting on a corrected case.

What your team sees

  • Operation exceptions — Failed and reconciliation-required runs show the source revision and reason.
  • Execution attempts to check — Failed and unknown attempts show the provider reference for investigation.

Follow the work through

Use the source and revision when passing a case to the next person. If an action remains open or an operation has an uncertain result, inspect its related records before recording the outcome.

Review the implementation plan and the data model before preparing your first import.
