What you can do

Start with a named course and organization

An Instructor opens an enrollment for a course offered by the right organization. The record keeps its number, owner, enrolled date and current status together. A pending case can be checked by the Academic Reviewer without treating the initial entry as an approved outcome. The Enrollments screen shows the status board and the selected case workspace, including its state history and pending decision.

How the work is organized

  • Identify the course. The Instructor uses the course and organization on the enrollment before asking for review.
  • Assign the case. The owner and enrollment date stay with its number as it moves from draft to submitted.
  • Keep revisions separate. A changed course or supporting line must be checked against the revision the Academic Reviewer saw.

What to agree during setup

Confirm the course belongs to the organization before the Instructor submits the case. Agree how an owner is assigned, when a draft is ready, and which documents should accompany it. The Education Administrator maintains the course dates and policy reference.

Check the handoff on an actual case

A training team receives an enrollment request for a course that starts next month. The Instructor creates the draft, attaches its supporting detail and confirms the owner. The case moves to Submitted only after the supporting documents have been added. The reviewer can identify the exact revision under review. If the course or owner changes later, the team checks the revision and decision history before recording a new outcome.

In the rehearsal, ask the Instructor to identify the source record and explain the change. Ask the Academic Reviewer to find the supporting evidence and decision for the same revision. The Read Only Analyst should be able to inspect the recorded outcome without editing it.

What your team sees

  • Enrollment intake — Draft and submitted cases show their course, owner, enrollment date and status.
  • My enrollments — Assigned cases give the Instructor a place to check the next handoff.

Follow the work through

Use the source and revision when passing a case to the next person. If an action remains open or an operation has an uncertain result, inspect its related records before recording the outcome.
