What you can do

Connect evidence to the case it supports

Evidence documents stores an attachment, document date, external reference, verifier and Yes or No verification value against an enrollment. Follow up actions records work still owed, including the assigned person, due date, status and resolution. Together these records help an Instructor prepare a case that an Academic Reviewer can inspect.

How the work is organized

  • Attach to the enrollment. The Instructor records the document and its external reference on the case it supports.
  • Name the verifier. The verification value and person remain visible to the Academic Reviewer.
  • Assign unresolved work. A follow-up action carries its assignee, due date, status and resolution.

What to agree during setup

Agree who verifies each document and how a replacement document is distinguished from the earlier attachment. Set a due date for a correction and record its resolution before considering the item complete. Keep the enrollment source reference on every evidence and action record.

Check the handoff on an actual case

A submitted enrollment has an attachment whose external reference cannot be matched. The Instructor assigns a follow-up action to the person who can obtain the right document. The original evidence stays on the case. When the replacement arrives, its verifier marks the new record and the assignee closes the action with a resolution. The reviewer can then see what changed before making a decision.

In the rehearsal, ask the Instructor to identify the source record and explain the change. Ask the Academic Reviewer to find the supporting evidence and decision for the same revision. The Read Only Analyst should be able to inspect the recorded outcome without editing it.

At the handoff, compare the latest status with the source reference and recorded reason. Identify who made the last decision before acting on a corrected case.

What your team sees

  • Unverified evidence — Documents marked No show the enrollment and named verifier.
  • Open follow-up — Open and in-progress actions show who owns each correction and when it is due.

Follow the work through

Use the source and revision when passing a case to the next person. If an action remains open or an operation has an uncertain result, inspect its related records before recording the outcome.
