What you can do
Separate preparation from review
Review decisions records the reviewer, source revision, decision, reason, evidence reference and decision date for an enrollment. The Academic Reviewer makes the independent decision while the Instructor owns case preparation. A pending decision belongs to a specific revision, so an earlier approval cannot silently cover a later change.
How the work is organized
- Separate the people. The Instructor prepares the case; the Academic Reviewer records the decision.
- Use the source revision. The reviewer checks the enrollment revision and evidence reference before deciding.
- Keep the reason. Returned and rejected outcomes retain an explanation for the next handoff.
What to agree during setup
Agree how reviewers are assigned and how a returned case reaches the Instructor. Require the reason and evidence reference when a decision needs explanation. The review role should be tested with a case the same person prepared, as well as a case prepared by another Instructor.
Check the handoff on an actual case
An Instructor submits an enrollment and an Academic Reviewer returns it after finding a document mismatch. The reason points to the evidence that needs correction. The Instructor resolves the action and submits the revised case. A fresh decision is then tied to the new revision. The previous returned decision remains legible as part of the case history.
In the rehearsal, ask the Instructor to identify the source record and explain the change. Ask the Academic Reviewer to find the supporting evidence and decision for the same revision. The Read Only Analyst should be able to inspect the recorded outcome without editing it.
At the handoff, compare the latest status with the source reference and recorded reason. Identify who made the last decision before acting on a corrected case.
What your team sees
- Review decision inbox — Pending decisions show the assigned reviewer and source revision.
- Enrollments awaiting review — Submitted cases show the course, owner and revision behind the decision.
Follow the work through
Use the source and revision when passing a case to the next person. If an action remains open or an operation has an uncertain result, inspect its related records before recording the outcome.
- Submission and review: Prepare the case and route it for an independent decision.
- Decision and delivery: Trace the approved case through the recorded outcome.
Review the implementation plan and the data model before preparing your first import.
