What you can do

Turn a request into reviewable terms

A hiring mandate records the position requested by a client. It belongs to an opportunity and an organization, and it can carry a position title, openings, target start and placement fee. Its status distinguishes Draft, Submitted, Approved, Rejected and Completed. The Relationship Owner prepares the terms; the Sales Manager reviews the submitted revision before a decision is entered.

A client may ask for regional supervisors to start in November. The owner records the title, openings, target date and fee against the appropriate opportunity. If a later conversation changes the openings, the team should review the current revision and supporting activity before submitting. The submitted mandate gives the Sales Manager a bounded question: are these the terms the client and recruitment team intend to accept?

How the work is organized

  • Position scope. The mandate holds hiring terms apart from the opportunity’s expected value and close date.
  • Decision state. Draft and Submitted show preparation and review; Approved, Rejected and Completed show later outcomes.
  • Parent context. The opportunity carries the client account, owner, relationship activity and attachments that explain the request.

What to agree during setup

Agree which terms must be completed before the owner submits a mandate. Position fields are available for title, openings, start and fee; teams should choose a practical minimum for review. Decide whether one mandate represents one position or a group of identical openings, and use the same convention on every client request. Reviewers need that convention to compare terms across accounts.

Decide who submits, who approves and how rejected terms return to the owner for correction. The Sales Manager should review the mandate in the context of its parent opportunity and record the reason for a decision. A completion policy should state what evidence confirms the mandate has been fulfilled. Marking a mandate Approved and marking it Completed are distinct moments.

Check the handoff on an actual case

Create a mandate for an open opportunity. Enter the position and planned start, add the supporting client conversation to the opportunity, and submit for review. Ask the Sales Manager to compare the terms with that activity and attached evidence. Record either approval or rejection with a reason, then ask the owner to find the outcome from the opportunity. Rehearse a revised request as well: the reviewer should be looking at the current revision, rather than a prior set of terms. The completed mandate should still point to the original client request.

What your team sees

  • Mandates awaiting review — Submitted position terms that need the Sales Manager’s decision.
  • Draft hiring mandates — Position terms the Relationship Owner is preparing.
  • Approved hiring mandates — Accepted mandates whose completion can be followed separately.

Follow the work through

Follow mandate review from draft through decision, then outcome review when the request closes.
