What you can do

Make the decision traceable

An opportunity can have attachments, review decisions and operation receipts. An attachment stores a title, evidence type, upload date, visibility and uploader. A decision records its source revision, decision, date, reason, operation key and reviewer. A receipt records an action, expected revision, result state and failure reason when relevant. These records let the Sales Manager examine what was considered and let the Auditor read the authorized result later.

A submitted mandate may have a fee change after a client meeting. The owner keeps the meeting activity and attaches supporting evidence to the opportunity. The Sales Manager compares those records with the current mandate revision, then records an approval, rejection or return with a reason. If an operation later needs review, the receipt retains the key and expected revision that identify the action in question.

How the work is organized

  • Attachments. Internal or shared visibility marks how a file on the opportunity should be seen.
  • Decisions. The reviewed revision, deciding team member and reason explain the human result.
  • Receipts. Pending, Completed, Failed and needs review states distinguish operation outcomes.

What to agree during setup

Choose which files belong with an opportunity and how the team decides between internal and shared visibility. Agree who checks evidence before a mandate or final opportunity outcome is accepted. A review decision should explain the result, especially when the decision is Reject or Return. The reason gives the owner a concrete correction and gives a later reviewer the original context.

Agree a procedure for receipts that need review. The team should inspect the linked opportunity and expected revision before deciding what happened. A failed receipt needs a refusal reason; a pending one needs reconciliation against the current opportunity. Preserve the operation key when discussing a case so two people check the same action. Keep the original evidence when a correction is made, so the decision history remains readable.

Check the handoff on an actual case

Attach a supporting document to an opportunity, give it the correct visibility and ask an Auditor to find the authorized record. Submit a mandate, then have the Sales Manager record a decision against the revision under review. Change the mandate and repeat: the new decision should refer to the current submitted terms. Finally, take a receipt needing review and compare its expected revision with the linked opportunity. Record who will resolve the exception and what evidence is needed before closing it.

What your team sees

  • Receipts needing review — Actions that need comparison with the linked opportunity.
  • Review decisions — Independent decisions with revision, reviewer, date and reason.
  • Shared opportunity evidence — Files marked for shared visibility on client opportunities.
