What you can do
Connect people to the correct organization
Organizations hold a name, code, time zone, currency and active flag. Team members belong to an organization and connect to a user; each team member has a name, role name, time zone and active flag. The opportunity owner and attachment uploader point to team members, while a review decision can identify its reviewer. These references tell the team who acted and which organization owns the work.
For a recruitment group serving several business units, the App Administrator establishes each organization’s code and membership before client accounts are entered. A Relationship Owner can then be assigned to an appropriate opportunity. When a Sales Manager reviews a mandate, the reviewer should be a different person from the owner who prepared it. That separation makes the decision meaningful and gives the Auditor a clear record to inspect.
How the work is organized
- Organizations. The organization record carries operating identity, time zone, currency and active state.
- Membership. A team member joins a user to an organization and carries a role name for day-to-day work.
- Accountability. Opportunities, attachments and decisions point to the people responsible for them.
What to agree during setup
Confirm how organization codes are assigned and whether a user may work for more than one organization. Decide how team members are marked inactive when they leave a team, and who reassigns their open opportunities. The client account, opportunity and mandate each have an organization reference; check that these match the operating ownership intended for the case.
Agree the access boundary for Relationship Owner, Sales Manager, App Administrator and Auditor. An owner prepares assigned work and evidence. A Sales Manager reviews eligible revisions independently. An App Administrator maintains organization and membership records. An Auditor reads authorized evidence. Test each person’s access to an example account and opportunity before the first live review.
Check the handoff on an actual case
Create a team member under an active organization and connect the member to a user. Assign that member an opportunity for an account under the same organization. Have the owner add an activity and attachment, then have a separate Sales Manager inspect the submitted mandate and record a decision. Ask an Auditor to locate the resulting decision and receipt. Reassign the open opportunity and verify that the next owner can continue from the existing activity history. Check that an inactive team member does not remain the practical owner for new work.
