What you can do

Placement fees in daily work

Finance creates a placement fee payment record against an invoiced search milestone. The payment holds the fee invoice number, amount, due date, method and status. Its link to the milestone keeps the fee attached to the mandate that earned it. Invoiced, Overdue and Disputed statuses give the team an explicit collections queue. When a payment is marked Received, the payment receipt workflow records a Payment Record operation receipt.

How the work is organized

  • Source record. placement fee payments records the invoice number, fee, due date and collection state against a search milestones row. The linked milestone leads back to the mandate; the payment does not hold its own mandate reference.
  • Named owner. Finance Manager maintains the payment and checks the Payment Record receipt after marking it Received. Client Partner follows a disputed fee with the client.
  • Visible outcome. Check the source status and linked evidence before the next person acts.

What to agree during setup

Agree which finance person owns invoice numbers and collection updates. Match payments to milestones by their references, not by a similar fee amount. During a pilot, review an overdue invoice and a disputed invoice alongside a successful collection so the team knows where each exception appears.

Check the handoff on an actual case

For example, a milestone invoice falls due under the client’s billing terms. Finance checks the payment amount and invoice number, then follows the due date. If the client disputes it, mark the payment Disputed and use the reference note to keep the issue visible. A later collection is entered with the paid date and Received status. Review the corresponding operation receipt before treating the event as recorded. The received amount and milestone outstanding amount support the reconciliation.

Follow the milestone link back to its mandate when a client questions an amount. Compare the fee payment’s invoice number and due date with the billing record, then keep the dispute note on the same payment. The receipt confirms the collection event was recorded.

When a client pays after an overdue period, keep the original due date and invoice number on the payment. They explain the collection history during a later client review.
