Time approval and evidence

Time entries connect hours to a team member and project, with an optional requirement item. Submission starts the configured approval action. Its decision and operation receipt leave an auditable outcome, including failed attempts that need investigation.

Step by step

  1. Record time Team Member

Team Member enters work date, positive hours, project and optional requirement item in a draft time entry.

    • Places dated hours against a person, project and optional item.
    • Updates Time entries, Team members, Projects, Requirement items
  2. Submit time Team Member

Team Member submits the entry after checking the project and hours.

    • Makes the entry eligible for the approval action.
    • Updates Time entries
  3. Record time outcome Project Manager

The approval action checks positive hours and submitted status, approves an eligible entry, and creates a review decision and operation receipt. A failed guard records a failed receipt.

    • Records approval or a failed guard outcome.
    • Updates Time entries, Review decisions, Operation receipts
  4. Inspect evidence Project Manager

Project Manager checks approved entries, decisions and failed receipts, then resolves the source record before any new attempt.

    • Lets the team trace and resolve the recorded outcome.
    • Updates Operation receipts, Review decisions, Projects

Where it usually breaks

And how to keep it from happening.

  • The hours are zero or negative. The approval guard blocks the action and records the failed attempt.
  • An entry is changed after it leaves submitted status. The guard checks current status before acting, avoiding a stale approval.
  • A time entry points to a task under a different project. Check both references before submission.
  • A failed receipt is ignored because the entry looks unchanged. Review the recorded failure reason and correct the source record.
