Folio and checkout

Folio and checkout keeps the stay decision separate from money confirmation. The arrival creates a room-night folio charge, while a payment has its own provider outcome. Once Front Desk Agent records the stay as checked out, Finance Clerk compares Posted charges with Confirmed payments and reports the balance. The released unit moves to Cleaning.

Step by step

  2. Reconcile checkout Finance Clerk

    • Records checked out and moves the unit to Cleaning.
    • Updates Folio charges, Payments, Reservations, Units

Where it usually breaks

And how to keep it from happening.

  • Pending receipt counted as paid. A payment reference is useful for tracing an outcome, but Pending is excluded from confirmed money.
  • Voided charge in the total. Compare only Posted folio items with Confirmed payments; inspect corrections by status.
  • Checkout treated as settlement. Recording checked out must not move a payment to Confirmed. Finance Clerk follows any outstanding amount after the departure.
