Reservation lifecycle

Reservation lifecycle follows a request from the guest and unit decision through check-in. Front Desk Agent checks the full-night interval, capacity and positive nightly rate before confirmation. At arrival, the unit becomes Occupied and the room-night charge joins the folio; that charge remains separate from any payment.

Step by step

  1. Confirm stay Front Desk Agent

Front Desk Agent checks the whole-night interval, unit capacity and positive nightly rate before confirming.

    • Moves a valid Requested stay to Confirmed.
    • Updates Reservations, Units, Parties
  2. Deliver stay Front Desk Agent

Front Desk Agent records check-in; Check-in appends the authorized room-night folio charge for Finance Clerk to review.

    • Records checked in, Occupied and a separate charge.
    • Updates Reservations, Units, Folio charges
  3. Coordinate service Service Coordinator

Service Coordinator assigns work against the stay and unit as needed.

    • Moves task work through its recorded states.
    • Updates Service tasks, People, Units, Reservations

Where it usually breaks

And how to keep it from happening.

  • Conflicting nights. Another confirmed stay on the same unit blocks the request even if the unit looks available today.
  • Party exceeds capacity. Compare guest count with the booked unit before confirming; leave an invalid request unchanged.
  • Arrival without a clear charge. Keep the checked-in reservation, occupied unit and authorized folio item linked. Payment status does not change merely because the guest arrives.
