What you can do

Build the usage claim

A royalty cycle starts with a statement for a named contract and period. The Accounting Preparer records eligible units and a rate, attaches the statement to its parent accounting document, and brings the supporting evidence into the same review. This keeps the commercial basis close to the financial effect. A reviewer can read the usage claim, the supporting material and the document amount together.

How the work is organized

  • Prepare the basis. Record the contract reference, period end, eligible units and rate before submitting the statement.
  • Hold the submitted revision. A submitted statement represents a fixed claim for review; later changes need another revision.
  • Release with evidence. An independent reviewer decides the claim and the accepted scope is recorded before completion.

The parent document is the financial anchor. Its partner, organization and lines explain where the eventual journal and cash application belong. If the usage quantity changes after submission, the Accounting Preparer should explain the new amount rather than overwriting the reviewed basis. The reviewer needs to know which revision was accepted and which supporting attachment applied to it.

What to agree during setup

Choose who owns each contract’s usage input and where supporting files arrive. Agree how eligible units are checked against the cumulative contract basis and who resolves a disagreement with the partner. Set a clear period calendar so statements for one contract can be compared without mixing reporting windows. The reviewer must be independent of the preparer for the same submitted revision.

Agree what a completed statement means for the accounting team. Completion follows a reviewed release and an operation receipt. Posting the related accounting document is a separate financial step with its own period and balance check. Keep these decisions visible to the person preparing the next statement, especially when a prior period was corrected.

Check the handoff on an actual case

Take one contract whose period has a usage adjustment. Enter the original eligible units and rate, link the statement to the right accounting document, and attach the supporting source. Submit the revision. Have another team member inspect the evidence and contract basis before deciding. If the basis is rejected, preserve the decision and reason; correct the claim in a new revision. If approved, follow its operation receipt and completed state, then compare the related document with the statement amount.

Repeat the case with a second statement for the same contract. The cumulative basis should remain intelligible: the reviewer should see why the later eligible units can be accepted. This rehearsal also shows whether the team can find the correct parent document without relying on a name alone.

What your team sees

  • Statements Awaiting Review — Submitted royalty claims with their contract, period and parent document ready for a decision.
  • Draft Statements — Claims the preparer is still checking before submission.
  • Completed Statements — Released claims available for period comparison and follow-up.
