How a RTI / FOIA Management rollout works

Set case policy, people, review authority and a pilot before wider use.

  1. Set policy

Agree case types, due-date rules, decision authority, disclosure citations and appeal handling.

  2. Prepare records

Link Users and People, add Parties, and bring in the cases and requests for the pilot.

  3. Set access

Give officers, reviewers, managers and finance staff their responsibilities and rehearse denied actions.

  4. Rehearse work

Follow an application through verification and decision, a specialty request through disclosure review, and a fee through confirmation.

  5. Inspect results

Compare the overview, saved lists and reports with the underlying case histories before adding more work.

What the customer provides

Provide the current case register, requester details, staff identities, deadline policy, citation practice and examples of approval, rejection and return for information. Provide the payment and document-delivery contacts who can confirm the external handoffs. Assign a records manager to decide how appealed work is followed.

Changing it afterwards

Review any change to case states, role permissions or deadline policy against an actual pilot case. Keep previous decisions and officer actions readable when a process changes. Train the affected officers on the revised handoff before using it for new applications.
