Who it's for

Public agencies

A public agency may receive requests from residents, journalists or businesses. The case gives the records office a shared application number, applicant, responsible officer and due date. Documents and officer actions keep the working history beside the request. A reviewer can then give a reasoned decision without relying on a separate inbox trail.

How RTI / FOIA Management is set up for you

Central intake

Register each applicant as a party and assign the new case to a named officer.

Review desk

Examine case evidence and record an approval, rejection or request for further information.

Deadline review

Use open and overdue case lists to decide which officer needs help before the due date.

Appeals

Keep the earlier decision available when a challenged case is marked Appealed.

A public agency may receive requests from residents, journalists or businesses. The case gives the records office a shared application number, applicant, responsible officer and due date. Documents and officer actions keep the working history beside the request. A reviewer can then give a reasoned decision without relying on a separate inbox trail.

Start with one records office and a defined application type. Agree how case numbers are issued, how due dates are calculated and which reviewer has authority to decide. Rehearse a complete case with received material and a returned-for-information outcome. Ask a manager to inspect the same case in the overview and saved lists. After that, add the agency's other application types and the handoff to whatever service delivers released records.

The pilot should include a case that needs more information and one that reaches a decision. Compare the officer's actions with the reviewer's reason and authority reference. The manager can then inspect the open and overdue lists and decide whether the assigned officer can meet the due date. If the result is challenged, the earlier decision stays in the case history.
